Faq's and Terms for our Virtual Office Solutions

You might be at the very early stages of setting up your business, or perhaps you are located overseas and want to have a UK presence. Whatever your requirements Icon Offices has a range of Virtual Office Packages to meet your needs. With all of our Virtual Office packages you can choose to register your business from any 1 of our 6 exclusive addresses.
If your documents are not in English an independent translator may need to be hired by us at a one off cost of £12. All documents must be uploaded in the client area after you have subscribed. The documents do not need to be certified or notarised and we accept bills / statements that have been downloaded from online portals. Mail handling services cannot be activated for any of our virtual address packages until photo ID and proof of address documents are received. You can pay us using someone else's bank card as long as they have provided their consent to pay us now and at later dates via recurring subsription payments. We may ask for proof that you have the card in your possession and that the cardholder has provided their consent for it to be used. If we find that the cardholder is managing the Icon Offices account we may add the cardholder as an account handler. The card used to pay us can be changed via the client log in area at anytime.

When you purchase a virtual address package we give you consent to you use the address for your business without actually being based there. Every customer receives their own unique virtual office number. This gives your business a unique identity and means that your reputation should not be affected by other companies operating from the same business centre as you.

 

You can use your virtual address as:

 

a) Your company's registration and marketing address.

 

 

b) Your company's, your Director(s)' and your Person(s) of Significant Control's correspondence address.

 

 

c) Your can use the address to register your business on third party platforms such banks, eBay, Amazon, Shopfiy etc.

 

 

d) You can use your address to receive business and personal post for the business, directors and persons of significant control. Also see point 3 - 13 below.

 

 

e) You cannot use our addresses as residential addresses.

 

f) We do not permit motor vehicles & driving licences to be registered at our addresses.

 

g) It is your respononsibility to ensure that you make the public aware that you are not physically based at the address allocated to you and that you trade from a different address. If you require a trading address from us you will need to rent actual physical office space or a shared office / coworking space in one of our business centres.

All mail must be addressed to the unique virtual office number that we allocate you with otherwise it will be turned away. This is to protect our master address from blacklisting and also to safeguard the sender of mail against fraud as adding an office number to an address will help them identify that a business address is being used instead of a residential address.
You will be sent an automated email to notify you when we receive letters or parcels for you. You will then be able to log into the customer admin area and choose how you wish to access your post eg via scan, forwarding or collection. Options available to you will depend on the features of your virtual office package.
The major difference between us and other virtual office providers is that most of them scan your post to you by default. We do not (unless you tell us to). Instead we notify you when you receive post and let you choose how you would like to retrieve it. We do not open it unless you instruct us to. In any instance where we are asked to open post the contents of your post are kept confidential. All of our staff are DBS checked before being employed by us (a DBS check is an official government record stating a person's criminal convictions). We take customer confidentiality seriously.
They must not weigh more than 10kg and exceed the size of a shoebox. Anything received larger / heavier than this will be turned away. For Silver Gold and Platinum package holders we will only forward items for free that weigh 100 grams or less (see point 8 below). Anything heavier than this you can either collect for free or we can forward it to you subject to conditions (see point 7 below). Bronze package holders can only collect their items in person or upgrade to a new package. They cannot pay us a "one off fee" to forward their post. We do not accept parcels and signed for post at our Holborn, Tottenham Court Road and Oxford Street business centres.
No. Our address must not be used for vehicle registration, driving licences or any form of transportation-related licensing or documentation. If we receive any correspondence that indicates you have used our address for such purposes, it will be returned to the sender without any prior notice to you. We will also include a covering letter from our office requesting immediate removal of our address from their records.

Bronze customers will have to arrange to collect their items in person (by appointment only) or upgrade to a new tariff and arrange for a courier to collect their items subject to the terms below.

Applicable to Silver, Gold and Platinum Customers only:

You can arrange for your own courier to collect your item(s) from us.

a) Letters

- We can put all of your letters into 1 envelope if necessary.

- Email us and ask for the dimensions, weight, collection address and earliest collection date (the collection address may be different to your virtual office address).

- We will then give you all of the relevant information to enable you to book your post collection via courier (at your own expense).

- There will also be a £3.50 fee due to us per consignment to cover time, admin, packaging and printing.

- A consignment can be 1 letter or a group of letters put into 1 envelope so you only have to pay 1 fee of £3.50 to us. You will also save money on courier charges this way.

- Once the letter(s) are handed over to the courier by us it is your responsibility to liaise with the courier and track your item and raise any queries direct with them. We take no responsibility for lost or damaged items.

b) Parcels

- Where possible we may be able to put all of your parcels into 1 box.

- Email us and ask for the dimensions, weight, collection address and earliest collection date (the collection address may be different to your virtual office address).

- We will then give you all of the relevant information to enable you to book your post collection via courier (at your own expense).

- There will also be a £5.50 fee due to us per consignment to cover time, admin, packaging and printing.

- A consignment can be 1 parcel or a group of parcels put into 1 box or several parcels going to the same address on the same collection (eg parcels 1 of 2 and 2 of 3). In such an instance 1 x fee of £5.50 is due to us. You will also save money on courier charges this way.

- Once the parcel(s) are handed over to the courier by us it is your responsibility to liaise with the courier and track your item and raise any queries direct with them. We take no responsibility for lost or damaged items.

If the package that you have subscribed to includes free mail forwarding, then the maximum weight of an item that we will send you for free is 100 grams. We will use the cheapest service available to send your item via Royal Mail. Tracking is not included. We do not take responsibility for non delivered post. If you would like your post sent to you with tracking additional charges will apply. See point 9 below.

Bronze customers Mail forwarding is not included in the Bronze package and is not available on a "pay as you go basis." Bronze customers will need to log into their customer admin area and upgrade to a package that includes mail forwarding. Where applicable the below additional charges may also apply.

Applicable to Silver, Gold and Platinum Customers only:

For anything up to a maximum weight of 100 grams We will use the cheapest service available to send your item to you globally via Royal Mail. Tracking and insurance is not included and we do not take responsibility for any items that are not delivered to their destination.

If you would like your items delivered to you faster or with tracking and with a delivery guarantee you can book your own courier as per the following guidelines.

- We will then give you all of the relevant information to enable you to book your post collection via courier (at your own expense).

- A consignment can be 1 letter or a group of letters put into 1 envelope so you only have to pay 1 fee of £3.50 to us. You will also save money on courier charges this way.

- Once the letter(s) are handed over to the courier by us it is your responsibility to liaise with the courier and track your item and raise any queries direct with them. We take no responsibility for lost or damaged items.

b) Parcels

- Where possible we may be able to put all of your parcels into 1 box.

- Email us and ask for the dimensions, weight, collection address and earliest collection date (the collection address may be different to your virtual office address).

- We will then give you all of the relevant information to enable you to book your post collection via courier (at your own expense).

- There will also be a £5.50 fee due to us per consignment to cover time, admin, packaging and printing.

- A consignment can be 1 parcel or a group of parcels put into 1 box or several parcels going to the same address on the same collection (eg parcels 1 of 2 and 2 of 3). In such an instance 1 x fee of £5.50 is due to us. You will also save money on courier charges this way.

- Once the parcel(s) are handed over to the courier by us it is your responsibility to liaise with the courier and track your item and raise any queries direct with them. We take no responsibiluty for lost or damaged items.

Yes. You will need to give us their name via email. When they come to collect your post they will need to show some ID. Collection has to be strictly by appointment only. Collection in person is not possible from our Holborn, Tottenham Court Road and Oxford Street Business Centres.
  1. If you are paying us quarterly you can upgrade to a package that includes mail forwarding for just 1 quarter. This can be done by logging into the customer log in area. Once you have received all of your post you can downgrade back to the Bronze package at the end of the quarter by emailing us. Please also see points 8 and 9 above.
  2. If you are paying us annually we can give you the option to upgrade to a silver package for 1 quarter only for a one off fee of £26.00. You will receive all of the features of our silver package for 1 quarter only (including mail forwarding) subject to the rest of the terms and conditions stated on our website. Please also see points 8 and 9 above. You will need to email us if you wish to use this service.
  3. We do not offer a pay as you go postage or scan service to Bronze customers.
  4. We do not offer a courier handover service to Bronze customers. This means that you cannot book your own courier to collect your items from our office on your behalf.

Collections can be made Monday to Friday (excluding public holidays) at a pre booked collection time usually between 10:30am and 4:30pm. If your Virtual office subscription includes collection of mail in person then it must be collected by appointment only. If you fail to book an appointment to collect your post, it will not be available for collection on your arrival. Mail collection in person is not available at our Holborn, Tottenham Court Road & Oxford Street Business Centres.

You have 2 options:

  1. Upgrade to a new tariff which has a higher monthly allowance for mail forwarding. This can be done by signing into the customer log in portal.
  2. Wait for the following calendar month to start when your allowance is reset.
With our Bronze and Silver Packages you can only register 1 company / business to any of our addresses. With our Gold Package you can register 2 companies / businesses and with our Platinum Package you can register 3. We consider a "brand name / trading name" as a separate business so if you have multiple brand names / trading names you will need 1 x subscription for each. If you wish to register more than 3 companies / businesses to your virtual office address please contact us before subscribing as we may be able to offer a discount. We can also offer you different addresses for each company / business at no extra charge.

If your virtual office package comes with a UK business voip landline you will be emailed a “Voip set up request form” when you sign up. You simply complete and return the form to us via email. Some important things that you need to know:

  1. You will be given software that works on an Android or Iphone. This will enable you to make or receive calls.
  2. You cannot choose your own number, but you can choose which city you want your number for eg 0203 for London, 0161 for Manchester, 0121 for Birmingham etc.
  3. Your voip line is free with selected packages. We do not charge for this service.
  4. To keep your Voip line active you must make or receive at least 1 call per month with a minimum duration of at least 30 seconds. Failure to do so leads to your Voip line being disconnected and the number being allocated to a different user without notice.

If you are paying us quarterly

  1. You can upgrade your package at any time by logging into your customer portal. The payment for your previous package will be refunded to you pro rata.
  2. You can downgrade your package only at your quarterly billing date by giving us a minimum of 7 days’ notice from your quarterly billing date. Your quarterly billing dates can be seen in the customer log in area. To downgrade simply email customer services.

 

 

If you are paying us annually

  1. You can upgrade your package at any time by logging into your customer portal. The payment for your previous package will be refunded to you pro rata.
  2. You can downgrade your package only at your annual billing date by giving us a minimum of 7 days’ notice from your annual billing date. Your annual billing date can be seen in the customer log in area. To downgrade simply email customer services. You cannot downgrade or ask for a pro rata refund midway through your annual subscription.
  1. You can switch to annual billing at any time by logging into the customer area. The last payment received will be refunded pro rata once you upgrade to annual billing.
  2. Paying us annually in 1 lump sum works out cheaper than paying us quarterly. We cannot offer a refund or balance adjustment if you have been paying us for a quarterly subscription for several months and then wish to switch to annual billing.

Take the following example

Quarterly Billing:

Our Bronze package is £12.87 per quarter. If you stay with us for 12 months and pay quarterly the price is £51.48

 

Annual Billing:

Our Bronze package is available for a discounted price of £45.76 if you pay for 12 months in advance.

 

You cannot pay us quarterly and then after 1 year ask for the difference between £51.48 and £45.76 to be refunded to you.

Yes. We provide all virtual office customers with a receipt which shows their UK address, the package they have paid for and the price they have paid for the package. The receipt is on our letter headed paper and it can be shown to any third party as proof of address. Legally binding rental agreements recognised under UK law, are available with our shared office packages.

We operate a subscription service. This means that once you sign up your original payment method will be charged the amount due automatically on your quarterly or annual billing date. Your billing dates can be viewed in the customer log in area.
Yes you can. Simply log into the client area pay again using your new card and your last payment will be refunded pro rata. When changing your card details you are not permitted to downgrade and purchase a cheaper package.

After subscribing you have 14 days to cancel (pro rata charges may apply). After 14 days no refunds can be given under any circumstances. You can only cancel your package at your quarterly or annual subscription date by giving a minimum of 7 days' notice from your billing date on the condition that you are no longer using our address as the registered, advertised or correspondence address for your company / business or any of the Directors or employees. We do not permit use of our address for any purpose, without payment.
